IT and Communications Health Review

Start with a structured review rather than an open-ended support contract. The aim is to establish what is in place, where the real risks are and what should happen next.

Three schools. More than 3,000 accounts. One fixed opening date.

From 2011 to September 2014, David Thomson led the technology implementation for three interconnected schools within the Ridings Federation of Academies.

A complete technology environment for the new term

The Ridings Federation engaged David directly as lead implementation project manager after securing Building Schools for the Future funding. The new buildings had to open with their critical systems ready for staff and students on 2 September 2014.

David was responsible for bringing together a single data centre, fibre links between the schools and communications cabinets, firewalls, servers and hypervisors, wired networks, a new Meraki wireless network, device imaging and the migration of more than 3,000 Exchange accounts to Office 365 Exchange.

Technology integrated with the building work

David managed the IT supplier, Civica, and worked alongside construction partners BAM and Willmott Dixon so that the cabling, data centre and Wi-Fi installation remained aligned with the building programme.

His role covered the whole implementation and its stakeholders: senior executives, teachers, assistants, department heads, suppliers, IT teams and floor walkers. Decisions, dependencies, communication and readiness came back to one accountable project lead.

Six weeks from building handover to opening day

The existing schools remained operational in their old buildings until the end of the July 2014 term. Much of the physical infrastructure had been installed during the preceding 12 months. Once the new buildings were handed over, the summer break became the final implementation window.

During those six weeks, the teams completed network configuration and routing, Wi-Fi commissioning, laptop and desktop imaging, fibre backhaul, the Office 365 Exchange migration and staff training.

Operational on 2 September and well within budget

The completed environment worked as designed. Three hundred laptops were delivered to existing and new staff, and every one connected to the new Meraki wireless network on the first attempt.

Staff and student sign-in took place over the first two days of term. The wider environment included cashless payment, biometric recognition and catering terminals, supported by additional training for catering staff.

Buildings, networks, cloud services, devices, suppliers and users treated as one implementation.

That connected approach is the same one David now brings to Oblyx clients planning infrastructure changes, Microsoft 365 migrations or complex supplier transitions.

The schools were Yate International Academy's primary and secondary schools and Winterbourne International Academy. Their later renaming and changes of academy trust took place after this project was completed.
